job detailsReporting directly to the Country Chair & Managing Director, the role involves confidential, high-level information as
well as engagement with internal and external stakeholders. This is a diverse, hands-on role which requires
professionalism, interpersonal skilfulness, energy and attention to detail.
Activities ...
Act as the primary point of phone and email contact for the Country Chair & Managing Director.
Provide a high level of executive support to the Country Chair & Managing Director including email and diary
management, organising travel, drafting documents, and other ad hoc requests.
Meeting coordination includes agenda and presentation preparation and distribution as well as taking of
minutes.
Responsible for day-to-day office management activities and reception duties ensuring tidiness of the reception
area and meeting rooms.
Maintaining and ordering amenities, stationery and supplies for the office, which includes but not limited to
stationery supplies, milk, tea, coffee, etc.
Management of daily office mail (incoming and outgoing) and couriers.
Liaise with building management to ensure the efficient operation of the office.
Receiving visitors to the organisation and directing them accordingly.
Ordering of food and beverages for meetings.
Event Management - complete management/coordination of events.
Manage expense claims.
As hoc administration support.
Context and environment
Responsible for supporting our Country Chair & Managing Director whilst also managing the day-to-day office
management and reception duties.
Qualifications/Experience required
Minimum 4 years experience in high-level office administration.
Demonstrated high-level administration and organisational skills, including travel management.
Excellent time management skills including working to deadlines, with strong attention to detail.
Well developed interpersonal skills and multi-tasking capabilities.
Reliability and a highly organised approach with ability to juggle multiply tasks.
Forward-thinking ability.
Well-developed liaison skills, including excellent communication skills (both written and verbal) with a range of
stakeholders.
Integrity performs with honesty, transparency and trust.
Must have a positive can do attitude, and strong ability to work as part of a team or independently as required.
