This position requires the successful applicant to demonstrate highly developed interpersonal skills with a wide
range of internal and external stakeholders including senior executives and Ministerial Offices.
The responsibilities:
- Oversee and coordinate meeting and conference preparations, including preparing agendas and follow up actions
- Organise travel arrangements and bookings
- Coordinate travel arrangements for meetings and event attendees
- Diary management, including arranging meetings with internal and external stakeholders and ensuring meeting papers and requested background materials are available.
- Coordination and booking of venues, agendas, catering and minutes
- Gather and record data and keep accurate records as required
- Coordinate and track requests for briefings, correspondence, reports etc
- Prepare or process material and documents for Executive Board meetings, Committee
- Meetings, Direct Report Agenda items and events, as directed
- Maintain electronic folders including preparing electronic folders for meetings
- Organise payment of invoices
- Work co-operatively with other Executive Assistants and Divisional staff to provide a range of services to Executive Officers and team members and to support the departments goals, values and behaviours
Required capabilities:
- Experience in preparing letters, emails and reports using clear, concise and grammatically correct language
- Takes responsibility for correcting problems promptly and without becoming defensive
- The ability to plan and prioritise work to ensure outcomes are achieved
- Constantly looks for continuous improvement opportunities and ways to innovate, and encourages others to do the same
