Randstad is currently seeking an Executive Assistant with extensive experience working with leadership team. It is a 3 months contract, the role is based in Geelong. Work with the government organisation at an attractive pay rate of $57.83/hr+ super.

The ideal candidate will be a proactive professional capable of managing multiple tasks, anticipating needs, and maintaining confidentiality in a fast-paced corporate environment. This role requires exceptional communication skills, attention to detail, and the ability to prioritise and execute tasks with minimal supervision. The Executive Assistant will play a critical role in facilitating smooth operations and enhancing productivity within the organisation.

Responsibilities:

- Provide comprehensive administrative support to the executive team, including calendar management, scheduling meetings, travel arrangements, and expense reporting.
- Act as a central point of contact, effectively managing all incoming communication and correspondence on behalf of the executives.
- Prepare and edit professional documents, presentations, and reports, ensuring accuracy and adherence to organisational standards.
- Coordinate and facilitate meetings, including agenda preparation, minute-taking, and distribution of meeting materials.
- Conduct research, compile data, and prepare briefing documents to support executive decision-making and strategic initiatives.
- Maintain confidential and sensitive information, exercising discretion and professionalism at all times.
- Assist in project management by tracking deliverable, deadlines, and milestones, and providing regular progress updates to the executives.
- Coordinate and organise internal and external events, conferences, and business functions, including logistics, venue arrangements, and catering.
- Serve as a liaison between executives and internal/external stakeholders, maintaining positive relationships and ensuring effective communication.
- Anticipate the needs of executives and proactively identify opportunities to enhance their efficiency and productivity.

What you'll need to succeed

- Proven experience as an executive assistant or in a similar administrative role supporting senior management.
- Strong organisational and multitasking skills, with the ability to prioritise tasks and meet deadlines in a fast-paced environment.
- Excellent written and verbal communication skills, with exceptional attention to detail and accuracy.
- Proficient in using productivity tools, such as MS Office Suite (Word, Excel, PowerPoint, Outlook), and experience with calendar and project management software.
- Discretion and ability to handle confidential information with professionalism and integrity.
- Strong interpersonal skills, with the ability to build effective working relationships with individuals at all levels.
- Proactive and self-motivated with the ability to work independently and take initiative.
- Flexibility and adaptability to changing priorities and demands.
- Strong problem-solving skills and the ability to think critically and make sound decisions.
- Bachelor's degree in business administration or a related field is preferred.
