job detailsOur client is looking for an experienced and creative Executive Team Assistant to join their team. The focus of the role is to be in charge of the reception, and coordinate the day-to-day runnings of the office.
We are seeking someone with a creative and friendly personality to greet our guests as they come into the office, so professional presentation is very important. Event management will also be an aspect of the role, coordinating not only meetings, but company functions as well.
The position will also include some maintenance of the company's website, business wide emails and announcements, and other public collateral.
The company is located at a beautiful office in Norwood, this position is full time with some events being hosted outside of typical working hours.
Duties and responsibilities would include:
- General reception tasks such as; greeting guests, answering calls, scheduling meetings, sorting mail (physical and digital), conference bookings, catering, managing office maintenance (supplies, cleanliness, amenities etc)
- Providing administrative support to all other employees
- Organising travel arrangements for staff and stakeholders when needed
- Maintaining, updating, and creating content for the businesses website
- Updating administrative, legal, and financial records and databases such as board papers, ASX announcements, and Computershare
- Updating and running the companies LinkedIn page, as well as other social media
- Coordinating all aspects of company events, including liaising with attending guests, booking external supplies, sourcing locations, catering, presentation material etc
The ideal candidate would have:
- As the companies website is run through wordpress, experience is desirable
- A degree or relevant experience/interest in design (photoshop, canva, indesign) to produce content
- Event management experience, or other relevant coordination/customer service experience
- Comprehensive knowledge of the Mac OSX, Google Suite, Microsoft Office Suite, and the Adobe Creative Cloud
- The ability to work autonomously, organise and prioritise competing responsibilities/tasks to meet deadlines, proven high organisational skills, initiative to assist the office staff etc.
- Neat and professional appearance for the reception with friendly face to assist clients
