Job summary

This newly created role within the Property Team for a Facilities Coordinator who will be responsible for assisting in co-ordinating key functions throughout the National Business Portfolio, reporting to the National Facilities Manager you will be working to maximise the efficiency of the Facilities function.

Duties include, but not limited to:Assist in Co-ordination of general maintenance requests and ensure all work orders are completed within agreed SLAsReceiving maintenance requests via email and phoneProfessionally and efficiently attend to all inquiries Review and administration of all completed works. Closing out works, processing contractor invoicesLiaise with landlords and key stakeholders around deliverables and recoverableAssist with the delivery of asset initiatives for environmental and sustainability targets.Building Relationships with onsite contact and contractorsAdministration of contractor compliance with OH&S obligationsCommunicate effectively with a variety of key stakeholders from within the business and beyondHave a clear understanding and shared accountability for the delivery of Reactive Maintenance SLAs.Provide assistance to colleagues and team members during busy periods or relief during holiday breaks or sick leaveHands-on attitude in the completion of required tasksOperate with a safety-first mentality

To be successful in this role youll know youre the right person for the role if you have a flexible approach to work, capable of juggling multiple tasks and a varied work load. With a helpful nature, and a desire to make a difference, youll love the diversity of the role and tackle all tasks with a supportive motive. A genuine interest in building a career in the corporate property space, with exposure to a fast paced multi-site environment would be favourable.

Other characteristics that will ensure your success, you will ideally possess:Experience in facilities coordination or in a similar role within a property, building/facilities management retail environment.Excellent time management, organisational skills and attention to detail especially with high volumes of workEthical with a high level of integritySound knowledge of Occupational Health & Safety Act, Essential Services regulationsStrong communication skills, able to work with various stakeholders both internally and externallyStrong team player who is cooperative and collaborates with others to achieve outstanding resultsExcellent organisational and technical FM skills including the ability to determine priorities and meet deadlines and effectively balance competing demandsThe ability to build effective working relationships with stakeholders and assess, develop and negotiate solutions to facilities issuesProven ability to negotiate, problem solve, identify solutions and take actionOrganised and logical approach to tasksProactive and positive outlookResilience and flexibilityContinuous improvement in developing and implementing systems that streamline business operations High level of proficiency in the use of /Microsoft Office & Excel, and the ability to quickly learn and adapt to new softwareStrong customer service focusAbility to work autonomously and use initiative to resolve problems.We are looking for someone to hit the ground running, someone who loves a challenge and shows passion in what they do and has fun doing it.
