Your new role

As a Senior Executive Assistant, your duties will be tasks including but not limited to

...

- Manage the Senior Executive's daily business by regularly reviewing their diary, meeting, travel demands, and budgets, identifying potential issues and impacts.
- Coordinate and arrange meetings, conferences, and travel arrangements for the Senior Executive and committee members.
- Prepare and review documents, reports, presentations, and other communications to ensure accuracy and clarity.
- Handle incoming communications, including emails, calls, and other correspondence, prioritising them appropriately.
- Attend meetings and take accurate and detailed minutes of discussions, decisions, and action items.
- Act as a liaison between the Senior Executive, senior management, business units, and government agencies, ensuring seamless administrative support.
- Conduct research and gather information to assist the Senior Executive in decision-making processes.
- Support other areas within the division with administrative assistance and executive support as required.
- Maintain the confidentiality and professional integrity of the Senior Executive by handling organisational and personal information discreetly.
- Collaborate with other Executive Assistants to manage the daily business and strategic activities of the organisation, resolving issues and competing demands.
- Communicate and liaise with Senior Executives from public and private organisations, respecting confidentiality and building effective working relationships.
- Coordinate the flow of incoming and outgoing correspondence for the Senior Executive and assist with the departments overall correspondence coordination.
- Coordinate meetings for the Senior Executive and relevant committees, including attendee arrangements, pre-briefs, and meeting minutes preparation.
- Organise regular division and operational meetings, rescheduling when necessary, and maintaining division corporate calendars for committees.
- Develop and utilise filing and retrieval systems to provide historical reference and ensure efficient operations.
- Support division Directors with administrative requirements as needed.
- Organise and oversee special projects and events as required

The ideal candidate for this role will be professional, confident and have demonstrated experience in the following areas

- Proven experience as an Executive Assistant or in a similar administrative role.
- Exceptional organisational and time-management skills with a keen eye for detail.
- Outstanding communication, interpersonal, and problem-solving abilities.
- Proficient in using office software and productivity tools including TRIM/Content Manager, Microsoft Office, Google Suite, etc
- Ability to handle sensitive and confidential information with utmost discretion.
- Demonstrated ability to work under pressure and meet tight deadlines.
- Strong sense of initiative and proactive attitude to anticipate needs and provide appropriate support.
- Excellent multitasking skills with the ability to juggle various tasks simultaneously.
- A positive and professional demeanor with the ability to build strong relationships.
