Job Description
Correspondence management
- Monitor staff security access systems and procedures
- Open, record, prioritise, track and distribute incoming and outgoing correspondence and documents
- Organise couriers
- Prepare timely replies to correspondences
Data and information management
- Accurately record and produce to a high standard a range of documents. This includes taking minutes, proofreading and editing. Maintain data bases and registers. Research, source and collate information required for reports or proposals.
- Maintain orderly, user-friendly record, filling and office systems. Ensure records are up-to-date, and sensitive and confidential information appropriately stored.
- Place and receipt stationary orders. Ensure supplies are neat, securely stored and levels regularly monitored. Arrange office equipment repair and maintenance.
- Assist in the implementation of improvements to systems to assist in the smooth operation and work flow of the business environment.
Meeting and event coordination
- Provide support for planning, meetings and committees. Liase with stakeholders, assist in preparing and distributing agendas, papers, documents and reports, make travel arrangements, book venues, arrange catering, supplies and equipment. Maintain systems to identify monitor status and resolve action items arising from meetings. Follow-up oustanding reports, statistics and other relevant managers and staff.
- Provide high level assistance and support to the Executive Director, including maintaining electronic diary, scheduling meetings, disseminating information, and updating contact information. Promptly respond to queries and liaise with colleagues and contacts on behalf of the Executive Director.
- Arrange office meetings such as booking and preparing venues, agendas, catering, minutes etc.
Financial support
- Raise purchase orders using the electronic purchasing system
- Provide assistance with financial management including managing budgets, monitoring expenditure, reviewing and coding accounts for authorisation and payment.
- Organise payment of invoices
Process and procedure advice and improvement
- Assist in the development and review of manuals and procedures
- Explain rules, procedures and operational policies
- Modify, implement and effectively maintain administrative, filing and information management systems
- Review and monitor efficiency and effectiveness of administration work practices and procedures
The Successful Applicant
You will have prior experience in a similar role, have excellent relationship skills and forming and maintaining positive working relationships with colleagues. Your attributes must include attention to detail, great writing skills, be self-motivated, and to maintain confidentiality.
