We are proud to currently be partnering with multiple state and federal departments across the health/disability, energy and transport sector, in helping them recruit for multiple AO4 Project Support and APS5 Program Support Officers.
Your New Position
As an AO4 Project Support/APS5 Program Support Officer, your duties will be:
- Provide responsive executive administrative support to the project teams
- Ability to understand project terminology, experience working with key stakeholders, and the ability to drive and meet project deadlines
- Provide secretariat support to project meetings, including coordination of meetings, production of minutes, agendas and action lists as required.
- Draft high-quality correspondence / documents including briefing notes, memorandums, letters, emails, presentations and reports
- Provide clerical and administrative services to a high standard including the use of Microsoft programs (Excel & Word), electronic databases, record and diary management systems.
- Resolve day to day operational issues regarding procedures and assist with the review of work practices to maintain high professional work standards while seeking ways for ongoing improvement.
- Examine incoming correspondence, prioritising and taking appropriate action including coordinating timely responses in consultation with admin staff, Program Officers, Project Managers and Project Directors.
- Maintain effective time management practices by prioritising work-flow to ensure time-frames are met, monitoring progress and follow up progress.
- Engage in data research, collection and analysis in regards to planning and service delivery.
- Contribute to the development of a culture of collaboration, innovation and continuous improvement within product and related areas.

- Experience using CRMs
- Experience working with Microsoft Office products specifically Excel
- Adaptable to changing priorities
- Excellent attention to detail
- Ability to handle difficult conversations

- Experience working with Sharepoint, Excel, Teams, Microsoft Project & SAP
- Experience working in database
- Experience working across diverse and remote teams
Your Skills and Experience
To be considered for this role you would have skills & experience in the following to be successful:
- Excellent interpersonal skills, sound organisational and administrative skills
- 2 + years project/program support experience
- Industry experience within the health, education or transport sector preferred
- Ability to work within a team environment
- High attention to detail
- Excellent communication skills - ability to handle difficult situations and conversations
- Ability to analyse numerical and written information
- Ability to pick up new systems quickly
- Reliable and adaptable

- $50.98 - $53.63 per hour + super
