The Responsibilities Include:
- Act as a first point of contact for, and screen all enquiries for the Chief Executive
- Liaise with and on behalf of the Chief Executive and the Board with internal and external stakeholders
- Provide high level administrative support as required in respect to meetings of the Senior Management Team and the Board including preparation and distribution of Agendas, Minutes etc.
- Manage the Chief Executive's calendar including scheduling of internal and external meetings
- Prepare letters, reports and other correspondence as required for the Chief Executive
- Coordinate all travel arrangements for the Chief Executive and Board members
- Undertake research and analysis and provide findings and recommendations as necessary for the Chief Executive
- Submitting high quality reports that are factual, clear and concise and adequately respond to the information required by the funding body
- Ensuring that all client contact and engagement is appropriately documented and recorded on their data collection systems - CRM (and other data systems as required)
- Making use of the appropriate time keeping processes including the Attendance System and the use of Outlook Calendar to record daily movements, meetings and other work related commitments
- Ad Hoc administrative duties as required
Ideally you will have:
- The ability to demonstrate previous executive support experience and able to interact professionally with all levels of employees and stakeholders
- Experience in working in a fast paced, changing and sometimes unpredictable environment
- Highly developed organisational skills with the ability to be adaptable and apply initiative as necessary
- Highly developed understanding of, and proven ability to maintain, high levels of confidentiality
- Well developed verbal and written communication skills, especially in relation to working with a diverse range of clients including Aboriginal group
- Demonstrated ability to work autonomously and as part of a team
- Demonstrated ability to identify and integrate cultural considerations into all interactions with staff, Board and other stakeholders
- High level of competence in the use of MS suite of products including MS Word, MS PowerPoint and MS Publisher
- Demonstrated ability to work with limited supervision but able to establish priorities, achieve objectives and meet deadlines.
- Proven ability to be flexible and solution focused.
