About the Opportunity:
Supporting the Managing Director (MD) both on day to day matters and longer term strategic projects, youll help maintain momentum and focus through a period of peak activity and scale, optimising your time and focus on things that truly carry the biggest positive impact for both the MD and wider team. In this varied and fast paced role, youll deliver high quality personal assistance and comprehensive administrative support to the MD, and handle both daily ad hoc needs as well as the tasks required to complement the commercial sales activities of the MD. Organising all appointments, meetings and travel requirements, youll monitor, respond to and redirect general emails on behalf of the MD, and identify, anticipate and prepare information requirements for the MD regarding meetings, appointments and presentations, etc. Youll provide high level administrative and executive support and participate in meetings to support and follow up issues and key recommendations. Youll provide research and analysis, prepare materials and documentation and take notes in key meetings. Youll also assist in diary management and help to prioritise workload and meetings, attending meetings as required, and youll provide agendas, minutes and other collateral and follow up with relevant reports and correspondence. Youll liaise with Gartland staff and clients on behalf of the MD as required and organise team and end of year events, functions, client gifts and respond to invitations sent to the MD.
Providing wide ranging administrative support for the MDs commercial sales activities, youll be responsible for all administrative tasks in relation to both sale and lease listings, including authorities, marketing forms, the set up and maintenance of online listings in the relevant database, and the organisation of photography and commercial property listings enquiries. Youll also attend market appraisals and inspections at the discretion of the MD, attend to all prospecting tasks as directed, including e-marketing, phone calls and general mail as required and maintain the MDs database of clients including prospective, current and past clients. Youll also liaise with solicitors regarding the preparation of sale and lease documentation and follow up deposits, offer conditions and settlements on behalf of the MD.
About You:
A consummate communicator, and an exceptionally capable professional, you have previous experience in a similar role and a proven track record of providing outstanding support to executive level management. Discreet, trustworthy and accustomed to working autonomously, setting direction, making decisions, and effectively juggling competing priorities, youre a composed and calm lateral thinker who leads with initiative. Enjoying refining process, you constantly seek out ways in which to work that align with best practice and are comfortable contributing ideas for how things might be able to be done differently or better.
Youll have strong business acumen as some of your responsibilities will include dealing with commercial documents, and youll have strong experience with the O365 suite. With strong analysis and report drafting/ grant writing experience, youll also have excellent interpersonal, communication and writing skills. With sound judgement, professionalism, a positive demeanour and an ability to convey opinions and influence the MD as required, youll also be able to maintain the highest level of confidentiality and be comfortable dealing with a wide range of stakeholders. With the drive to undertake work with limited supervision, youll be able to prioritise your workload to meet changing demands and exercise high levels of enthusiasm, energy and resourcefulness. Understanding of suitable real estate software (such as VaultRE, Property Tree, Release, RP Office, is desirable, not essential, though ideally youll have at least completed your Agents Representative certification and had some experience within a real estate setting.
