Job summary
The PositionThe Executive Assistant will provide high level administrative support to the CEO of a not for profit organisation based in Frankston.
The ideal individual will have the ability to exercise good judgement in a diversity of situations. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with high level professionalism and confidentiality.
Key Responsibilities
The Executive Assistant will provide high level, confidential administrative and executive support services to the CEO and Board of Directors.
The role is responsible for coordinating activities for the CEO, Board of Directors and the executive team to enable the success of business operations.
Coordinate Board meetings and prepare timely and accurate correspondence, including agendas, board papers and minutes .
Provide extensive diary management including coordinating a busy schedule of meetings
Draft management reports in consultation with CEO, reconcile monthly credit card expenses for CEO and broader team. Undertake research and projects to support the activities of the Chief Executive Officer and Board. Work closely with the board and staff to ensure the highest standard of planning for governance, including meeting all statutory reporting and compliance obligations, including organising the AGM, Board, and other senior level meetings. Receive and prioritise incoming correspondence, prepare memos, briefing papers and communications on behalf of the CEO Act as a support to the broader Executive team, screen and attend to a range of enquiries and ensure follow up action. Minute taking including identifying, recording, and following up on action points from meetings with relevant stakeholders. Manage emails and respond as appropriate. Maintain digital filing and achieving system for organisational documentation Manage the CEOs diary and calendar appointments. Skills & Experience
High level stakeholder engagement and interpersonal skills. Demonstrated experience as an Executive Assistant, Personal Assistant or similar role. Advance MS Office knowledge (Word, Excel, PowerPoint, Outlook). Outstanding organizational and time management skills. High level of discretion and confidentiality. Experience working in community-based organisation -is desirable. The Client
