Your new role
The Executive Office Coordinator will support the Executive Director and Executive Officer within the Business Performance Unit.
- Provide high-level, confidential, administrative support to the Executive Director (ED) and Executive Officer.
- Coordinating time lines and internal responses for Business Performance contributions to the Board, Board sub-committees and the Executive Group Meeting on behalf of the ED and the Business Performance.
- Undertake executive administration activities on behalf of the Office of Business Performance, including:
- proactively coordinating the EDs logistics via effective email, diary, travel and meeting management and administration;
- screening telephone calls and mail;
- fielding enquiries and requests and escalating urgent matters for the EDs attention;
- producing correspondence, presentations and reports;
- documentation and records management and filing for the ED;
- coordinating meetings, functions, agendas and room bookings.
- Supporting the Executive Officer to deliver Business Performance operational requirements, including business planning and budget management.
- Maintaining administrative processes and templates for Business Performance meetings, including agendas, minutes and action registers.
- Perform general administrative functions, including creating purchase requisitions to support purchasing goods and services, preparing submissions to support recruitment actions and ensuring general Business Performance information and links on the Connect intranet site are maintained.
- Provide secretariat support at Business Performance meetings and committees, including coordination of papers, minute taking and action item reporting. Monitoring work action plans, following up on outstanding activities and reporting progress to deliver outcomes.
- Creating and capturing accurate and complete records of the business activities related to this position, in accordance with approved policy and procedures. This is applicable to both hard copy and electronic information, including email
- Adhere to all organisations policies and procedures and any legislative requirements relevant to this position
- Any other reasonable and related duties as required to meet the ongoing needs of organisation
What you'll need to succeed
Skills and experience
- Proven executive assistant with excellent organizational and prioritization skills.
- Works efficiently under tight deadlines and minimal supervision.
- Strong communication and interpersonal skills, with the ability to build relationships at all levels.
- Proficient in Microsoft Office applications, including PowerPoint and Word, as well as electronic calendar management and video conferencing.
- Familiarity with corporate systems such as Oracle Cloud Financial and the Procurement Framework is an advantage.
- Skilled in developing and maintaining office procedures, with the ability to suggest improvements for increased effectiveness.
Qualifications
- Certificate or diploma in administration and/or relevant administrative experience.
