About the opportunity
We are looking for an Executive Assistant & Office Manager ANZ to join us in a full-time permanent capacity working from our Sydney Olympic Park office.
The role will focus on providing executive assistant support to the General Manager (GM) ANZ and ANZ Leadership Team (LT) as well as managing/overseeing the ANZ administration team who manage the operations of our Sydney & Auckland offices and provide administration support to our wider ANZ business.
This role would suit someone with 5+ years experience in a senior administration role within a professional working environment as well as strong skills and proven experience in planning support.
What You'll DoProviding executive assistant support to the GM and ANZ LT with tasks such as diary management, booking travel, expense management, AMEX statement reconciliations etc.Supporting the GM and ANZ LT in organizing, managing and updating the ANZ business master calendar and meeting cycles required for key business processes.Owning and managing the sharing of ANZ LT communication to the wider ANZ business such as meeting invites and key events.Organizing company meetings and events including review of location, quotes, catering, decorations, attendee management, agenda, budget, preparing PowerPoint presentations and liaising with relevant suppliers across ANZ. Oversee Admin Assistant NZ to execute relevant responsibilities for NZ. Managing ANZ meetings such as monthly company update meetings, annual company offsites, team bonding days, leadership team meetings, morning teas, Christmas Parties, international visitor events etc.Overseeing the ANZ administration team (AUS Receptionist, PSO Administration Assistant and NZ Administration Assistant) to ensure the Sydney and Auckland offices are managed correctly. Ensuring that the ANZ administration team provides effective administration support to the business.Leading and managing the ANZ administration team though setting priorities, providing feedback and providing coaching and support to the team.
Who You Are5+ years experience in a senior administration role within a professional working environment.2+ years experience in planning support for senior leaders.Strong interpersonal, influencing and relationship building skills.Strong fit with our company culture and ability to reinforce and lead it across business teams.Strong numerical and literacy skills.Ability to communicate at all levels of the organization and with external stakeholders.Proven experience in time management, planning skills and ability to manage multiple priorities effectively.MS Office skills. Ability to act autonomously, proactively and maintain confidentiality.People management experience is preferable. Business communications experience is preferable.
