This is a great opportunity for a well spoken, organised, flexible and hard working candidate.
We require a receptionist to our specialist clinic for smooth operations of our practice. This is a full time position but we are happy for a part-time contract if you are flexible with hours and our requirements.
The candidate needs to have a good knowledge of health fund billing,Medical Object, Genie software, ECLIPSE, Medicare and DVA or have a great capacity to be trained within 2-4 weeks.We expect the candidate to have good typing abilities and should be fully conversant with computer work ( Word, Excel). We keep an up to date health record of our patients and we expect the candidate to be very diligent about this.
A minimum of 1 years experience in this field is mandatory.
Main duties are: Welcoming patients and visitors, answering the telephone and answering any enquiries, scheduling appointments and being organised enough to keep those appointments on time, assisting patients with completing necessary forms and documentation, as well as ensuring that all information acquired is accurate and current and faxing, scanning, photocopying, filing, and mailing of the documents.
The reception staff is expected to schedule external appointments for any clients that require hospital admission and tests, collect on daily basis mail from the mailbox in the St. Andrews hospitals main reception area.
Furthermore, it is important for the reception staff to check the answering service for the messages from the previous day or the weekend and ensuring that they are appropriately addressed and passed on to the Consultants, Practice Manager and Practice Nurse.
During the course of a busy day, they are expected to comfort distressed patients this may range from simply fixing any appointment issues that may arise, through to being the voice of comfort during times of extreme stress and emergency and passing this sensitive information to the consultants, Practice Manager and Practice Nurse.
Archive (Scan) patients who no longer attend this practice
Assist patients with mobility, literacy, language and comprehension difficulties
Type outgoing correspondence
Check fax machine and distribute incoming faxes
Collect, open, stamp and distribute incoming mail
Culling of old medical records according to legislated guidelines
Ensure equipment is switched off, windows closed, alarms on and building is secure at end of day
Ensure messages are complete, details correct and relay in a timely manner
Ensure patient details are up to date including contact phone numbers, emergency contact, address, cultural background, Medicare, DVA and pension card numbers.
Ensure safety and cleanliness of reception and waiting room areas
Follow policy and procedure manual handling guidelines bring to attention of Practice Manager any items which are not correct or require updating
Invoice and receipt patient transactions in liaison with the Practice Manager
Maintain confidentiality of patient records by utilising confidential bins,
Notify Manager of any incident or potential incident relating to patients or staff that has or could compromise the safety and integrity of the Practice
As Medical Receptionist is the face of the Practice, it behoves upon her to be smartly dressed, highly courteous and pleasant in demeanour to the patients and their relatives. All sensitive issues need to be dealt with appropriate support from the consultant and Practice Manager
