job detailsRandstad is currently working with a State Govt Dept recruiting for a Senior Executive Support Officer to assist with growth in the Brisbane region.
Your New Position
The Senior Executive Support Officer provides comprehensive support to the achievement of divisional and departmental objectives through the development and maintenance of an efficient, effective, ethical, confidential and professional executive support service to the executives.
- Manage all administrative functions in the office of the executives, including the monitoring and distribution of notices, memos and other documentation received by the executives, enquiry screening, diary management, preparation of high quality meeting notes/minutes, and high-quality records management in line with legislative requirements.
- Coordinate and prioritise incoming meeting requests, critically evaluate background information required prior to the meeting, and ensure timely provision of all necessary documentation and information to support the executives in preparation for meetings.
- Develop and evaluate work systems, procedures and guidelines to ensure effective performance and outcomes for the branch.
- Prioritise and resolve problems arising from conflicting requests, and using discretion and within defined boundaries, autonomously redirect and respond to matters on behalf of the executives.
- Establish and maintain effective relationships with colleagues and stakeholders at all levels across the department to manage and ensure the delivery of high quality, seamless, timely and efficient executive services.
- Organise meetings and events generated/hosted by the executives including negotiation with colleagues to schedule time in attendee diaries; and booking of rooms, equipment, catering and car parking for external attendees.
- Provide advice and assistance to senior staff both within and external to the department on matters of protocol relating to the Office of the executives division.
- Deal professionally with sensitive and confidential issues that arise within the branch, and provide a Secretariat role for high level/sensitive meetings/forums, and establish and maintain close working relationships with clients such as Offices of members of the Departmental Executive Leadership Team and Offices of other Senior Public Sector Executives.
- Undertake special projects and assignments as required by the Executives division.
- Liaise and effectively communicate (both written and verbal) directly with members of the public, external organisations, and personnel at all levels and disciplines across the department to ensure dissemination of information and decisions with tact, diplomacy, respect and in a professional manner.

- Proficiency in managing multiple tasks and incoming requests to achieve effective results in tight deadlines.
- Demonstrated ability to self-motivate and work autonomously, combined with a good understanding of when to collaborate and/or seek advice before making a decision.
- Demonstrated ability to analyse issues, develop collaborative solutions and adopt a proactive approach, with minimal direction, whilst delivering high quality work.
