Job summary
Due to the recent promotion, we have a Project Administration posiiton become available.Perth Based Role on a 5/2 roster.
Familiarity with software such as SAP, ACCONEX, Ariba is a plus;
Long term role - immediate start -
Key Responsibilities include but not limited to:Assisting with the Administrative needs of the Project by:Administering projects from award to completion in accordance with IMS procedures;Preparing external contractual correspondence including variations, quotes and reports;Attending client project meetings where required, follow up action items to ensure timely delivery;Managing project specific materials schedules and registers in accordance with TMS procedures;Familiarization with RTIO and Roy Hill site mobilization requirements and procedures;Assisting the Engineering Coordinator and technical staff as required.
Providing secretarial support to the Project by:
Co-ordinating and taking minutes for all internal meetings distributing and following up actions;Providing secretarial support to the senior personnel, including word processing, diary management, filing and production of documentation for outgoing correspondence, tender submissions and presentations;Coordinating domestic and overseas travel arrangements i.e. airlines, accommodation, car hire for Perth based personnel;Receiving, actioning and maintaining confidentiality of all correspondence (both internal and external) for senior personnel;
Document Management and ReportingManage the Project document processes and materials along with Project Reporting needs by:Ensuring project and contractual reporting requirements are delivered on time and in the correct format;Holding responsibility for the tracking and transmission of project documents to allow effective record keeping for the project and client, whilst maintaining and up keeping project files;Supporting the weekly and monthly Project reporting requirements.
